Event guests: how to view the list and manage registration
To see who signed up, open My events, find the event and choose Guest list from its menu. You can find a person, download a table and stop registration here.
The list is accessible to the event's author and site administration. Visitors cannot see the names and emails in this table. Company membership alone does not grant access to an event created by someone else.
When guests appear in the list
The list collects registrations on DevKG. Choose this option in step three of the event form.
- On DevKGGuests register on the event pageFits almost always: the guest list builds itself.
- On another siteGive the link to registrationWhen tickets are sold on another site.
- No registrationOpen entry, nobody needs to sign upFor open meetups anyone can just walk into.
| Registration method | Where to find sign-ups |
|---|---|
| On DevKG | In this event's guest list. |
| On another site | On the external platform you linked to. Its registrations are not imported here. |
| No registration | There is no advance sign-up and no list is collected. |
Choose internal registration when creating the event if you want a list here. Changing the registration method does not transfer people from another site: they must sign up here themselves.
What guests see
- Register: Registration is open. The guest presses the button and joins your list.
- You're going: The guest is already signed up. They can cancel, and then they leave the list.
- Registration is closed: You stopped registration. New guests cannot sign up.
- Register — sign-up is available. The guest must sign in and confirm their email if prompted.
- You're going — they are already registered. They can select Cancel my place if their plans change.
- Registration is closed — new sign-ups have been stopped. A past event's page may also no longer offer registration.
The original event page may show the number of sign-ups. That number does not mean everyone has arrived or paid for admission.
Visitor instructions: How to sign up for an event.
Step 1. Open the right event
- Sign in to the account you used to create it.
- Open My events.
- Find the title and check the date so you do not select an earlier meeting.
- Open the three-dot menu and select Guest list.
If the option is missing, check the registration method and account. It may also be unavailable if guest lists are disabled on the site.
Step 2. Find a person
At the top are the "Stop registration" and "Download CSV" buttons, with search below. Each row shows a number, name, email and sign-up time, with a menu on the right that has "Copy email". A guest with no name is shown as "Anonymous".
The list shows each guest's name, email if available, and registration date. Newest sign-ups appear first.
- Search: enter part of a name or email. Clear the field to see everyone again.
- Anonymous: the guest's data has no name. This is not a separate private-registration setting; the person still appears in the list and counts towards the total.
- Copy email: open the row menu and choose Copy email. This action is absent if there is no email address.
Do not rely on the empty company and other additional columns. Those details are not populated yet, and the company, city and technology filter buttons do not change the list. Use name or email search.
Step 3. Download a CSV
- Refresh the page to load recent sign-ups and cancellations.
- Click Download CSV.
- Open the
guests-…csvfile in Excel or Google Sheets.
CSV is a table saved as a file. It contains a row number, name, email and registration date. If everything opens in one column, import it as a comma-separated CSV using UTF-8 encoding.
You can add an “Arrived” column in your own spreadsheet or print it for check-in. Editing that file does not change registrations on the site.
Step 4. Stop registration when places run out
There is no automatic capacity limit in this form. The organiser monitors the number of guests.
- Click Stop registration in the guest list.
- Confirm the action.
- Wait for the page to update: the button will become Resume registration.
New guests cannot sign up. Existing guests remain listed but can still cancel their own registrations. Stopping registration does not unpublish the event.
To reopen sign-up, click Resume registration. Then check the event page: the event must still be published, use internal registration and have an appropriate date. This button does not move a past event back into the upcoming schedule.
How reminders work
The site automatically sends a reminder for a published event during the final 24 hours before its start. The organiser does not need to launch it manually.
Delivery depends on guests' notification settings. It is not a promise that everyone gets an email exactly 24 hours before the event. Someone who signs up after the reminder was sent does not automatically get an additional one.
Events on other sites
With internal registration, guests on copies follow a link to the original event on the site where it was created. Their registrations go into one shared list. Copies do not display the guest count.
With external registration, guests follow the external platform's link and the list stays there. See Publishing an event on other sites.
If something goes wrong
| Problem | What to check |
|---|---|
| Guest list is missing | You need internal registration, access to your own event and enabled guest-list functionality on the site. |
| The list is empty | Clear search and refresh. If it is still empty, share the published event link. |
| The CSV has more people than the screen | Search does not restrict the download: it includes the entire loaded list. |
| A guest has no name | They appear as Anonymous. This is not a failed registration. |
| A guest cannot register | Check publication status, registration method, date and whether sign-up is stopped. The guest must sign in and confirm their email if requested. |
| Someone registered by mistake | Ask them to open the event in the same account and select Cancel my place. Then refresh your list. |
| A filter button does nothing | Additional filters are not functional yet. Search by name or email instead. |
If the problem remains, contact support with the event link and error message.
