How to recruit speakers and build an event programme
A speaker is someone who gives a talk. On DevKG, you can collect applications or add people you have invited yourself. Then build a programme showing who speaks, about what and when.
The event creator manages speakers. Open My events using the account that created the event.
1. Open applications or add invited speakers
When creating an event, enable Accept speaker applications on step two. For an existing event, you can open recruitment on the speaker board.
Once the event is published and recruitment is open, its page offers Become a speaker. This block is not shown for past events.
If you already have speakers, you do not need to open applications. During initial creation, add them in the Speakers section. After saving the event, including as a draft, use the separate board.
2. How people apply
The applicant selects Become a speaker and enters:
- a name of at least 2 characters;
- a talk topic of at least 3 characters;
- at least one contact: Telegram, WhatsApp, phone or email;
- a company, optionally;
- permission to publish their photo, optionally.
No sign-in is required. The applicant gives photo consent here; the organiser uploads the actual photo later. Submitting an application does not mean the talk has been accepted.
3. Open the speaker board
In My events, choose Speakers for the event. There is also a link to the board on step two of the event editor.
On a large screen, Applications are on the left and Schedule on the right. On a phone, switch between these tabs. The board below is an illustration, not a working schedule.
At the top are the buttons Add a break, Download CSV and Stop accepting speakers. On the left is the Applications column: a card with a name, a topic, the Pending status and a To schedule button, with an Add to applications link above it. On the right is the Schedule: an hourly grid with a talk from 10:00 to 10:45, a coffee break until 11:00 and a second talk from 11:00 to 11:45.
To add someone yourself, select Add to applications, enter their name and topic, add company and contacts if needed, and save.
4. Set times for talks and breaks
- Select To schedule on a suitable application. The talk appears on the right among entries without a time.
- Drag it onto the time grid. On a computer, you can also drag a pending application directly from the left column onto the grid.
- Move the card to change its start. Pull its bottom edge to change its duration. Times move in 15-minute steps; the usual initial duration is 45 minutes.
- Select Add break. Enter a name or keep Coffee break. Place the break on the grid and adjust its duration too.
The grid uses the site's time zone. For online events, explicitly agree on the time zone with speakers. Check for overlapping talks and leave enough time between them.
Actions trigger saving. If an error appears, check your connection and try again. For a published event, the programme updates without a separate Publish programme button. Accepted talks may also appear before you assign a time.
5. Edit applications or remove talks
- Pencil on an application: edit the name, topic, contacts or photo. Changes to an accepted application also update its programme entry.
- Reject: reject a pending application. It stays on the board with its new status.
- Remove a talk from the schedule: select its cross and confirm. Its linked application becomes pending again. On a computer, you can also drag the talk back to Applications.
- Bin on an application: permanently delete it after confirmation. First return an accepted talk from the schedule to Applications.
Removing a break does not create an application.
Speaker photos
Open an application using the pencil. Photo upload is available after the speaker consents to publication. For someone you add yourself, obtain their permission first, then record it in the form. Do not tick the box without permission.
Choose PNG, JPG or WebP up to 5 MB; a square portrait fits the card well. A photo is optional: a talk can appear in the programme without one.
Close recruitment and export the programme
Select Stop speaker recruitment and confirm. New applications stop, while existing applications and the programme remain. Resume recruitment opens applications again.
There are two Download CSV buttons:
| Where | File contents |
|---|---|
| Applications | Applications, topics, a contact, status and submission date. This is not a full export of every person's contacts |
| Schedule | Programme times, names, company or role, topics and breaks |
Open the CSV in Excel or Google Sheets. Before the event, check the public programme and send speakers the agreed schedule.
If the board is unavailable, check that you are using the creator's account and that this site supports the feature. If the problem remains, contact support. Registered audience members are listed separately: Event guests.
